When you contact us, book an expedition, or rent equipment via WhatsApp or our web forms, we may collect:

• Personal Identification: Full legal name, date of birth, gender, and government-issued photo ID (Aadhar/Passport) strictly as required by Indian Forest & Tourism Authorities for permits.
• Contact Information: Phone/WhatsApp number, email address, and emergency contact details of a family member or guardian.
• Health & Altitude Fitness Disclosures: General medical history, physical fitness level, acute mountain sickness (AMS) history, and dietary restrictions to ensure wilderness safety.
• Payment Reference Details: Transaction IDs and payment screenshots (we do NOT store bank passwords, debit/credit card CVV, or UPI PINs).

2. How We Use Your Data

Your details are used solely for expedition-related operations:

• Procuring official trek permits and sanctuary check-post clearances from the State Forest Departments.
• Coordinating pre-trek preparation, weather advisories, packing checklists, and base camp pick-up schedules via WhatsApp.
• Deploying medical aid, emergency oxygen, or mountain evacuation in unforeseen wilderness situations.
• Issuing invoices and booking confirmations for your records.

3. Data Sharing & Third-Party Protection

We respect your privacy. We NEVER sell, trade, or rent your personal information to third-party telemarketers or advertisers.

Information is disclosed solely to authorized entities when strictly necessary:

• Government and local forest authorities for mandatory permit verification.
• Local emergency rescue teams, mountain guides, and hospital personnel in case of urgent medical evacuation.

4. Data Security & Retention

We take robust precautions to protect your personal information against unauthorized access, loss, or misuse. Medical disclosures and ID copies are archived securely and retained only for the duration required by local regulations and insurance compliance.

5. Your Rights & Contact

You have the right to request access to the data we hold about you or request its deletion following the conclusion of your trek. For any privacy queries, please reach out directly through our contact desk or visit our base office in Delhi.

1. Booking, Registration & Payments

• Trek reservations are confirmed only upon receipt of the advance registration deposit through our official booking channels.
• The remaining expedition balance must be cleared on or before arrival at the designated base camp (Dehradun, Sankri, Manali, or Rishikesh).
• All trek participants must provide a valid government photo ID and sign the mountain safety waiver prior to trail departure.

2. Physical Fitness & Medical Responsibility

• High-altitude Himalayan trekking involves inherent physical challenges. Trekkers are responsible for assessing their own cardiovascular and endurance readiness.
• Participants must disclose pre-existing medical conditions (including asthma, heart ailments, or severe allergies) to our trek coordinators beforehand.
• Our certified trek leaders have absolute authority to inspect fitness at acclimatization camps and may halt further ascent if a trekker exhibits acute altitude sickness (AMS/HAPE/HACE) for their own life safety.

3. Mountain Safety & Guide Instructions

• Trekkers must strictly abide by safety protocols set by our NIM/HMI certified mountaineering guides.
• Deviating from marked trails, consuming alcohol or narcotics during active trekking days, or disregarding guide directives is strictly prohibited and grounds for immediate dismissal without refund.

4. Weather Shifts, Route Changes & Force Majeure

The Himalayas are subject to rapid, unpredictable weather shifts, landslides, heavy snowfall, and sudden government closures:

• In case of unpassable trails or natural blockades, BIG X TREKKING reserves the right to adjust the route, substitute a campsite, or curtail the ascent for group safety.
• Extra days, additional porters, or transport delays arising due to acts of God or roadblocks are outside our direct control, though we will provide full logistical assistance.

5. Equipment & Tent Rental Liability

• All-weather 4-season tents, sleeping bags, gaiters, and crampons supplied by BIG X TREKKING are inspected before handover.
• Trekkers are expected to exercise care; any willful damage or loss of rented equipment beyond regular wear and tear will be chargeable at replacement cost.

6. Cancellation & Rescheduling Policy

• Notice 15+ Days Before Trek: 80% refund or 100% trek voucher valid for 12 months.
• Notice 7–14 Days Before Trek: 50% refund or 75% trek voucher valid for 12 months.
• Notice Less than 7 Days: Non-refundable due to advance reservation of forest permits, rations, tents, and local mules/porters.
